Logistics and Customer Service Specialist

Role Description
The role will be responsible for the complete management of the order cycle, from shipment to invoicing. The Logistics and Customer Service Specialist will perform operational and coordination activities among the various internal company functions and external stakeholders.
Through his/her contribution, the correct execution of commercial, logistics, and documentation processes will be ensured, guaranteeing compliance with regulations, a high level of customer service, and the continuous updating of company information systems.

Main Responsibilities
By correctly applying work instructions, the role will contribute to both logistics and customer service activities. Upon completion of these activities, the role will also be responsible for monitoring the function’s performance indicators (customer service level, statistics on orders entered, order confirmation lead times, Rolling Forecast Reliability).

Logistics
Customer Order Management:
• Verification of consistency between customer orders and sales contracts/offers (contract review), order requirement checks, and internal notification to the organization
• ERP data entry, order confirmation management, handling of special customer requests, management of customer correspondence (MSDS – Material Safety Data Sheet, Privacy, etc.), and document archiving
Shipment and Export Management:
• Proper management of standard and non-standard shipments, collection of goods from third parties (purchases and trade fairs), and issuance of related documentation
• Definition of shipment plans, preparation and issuance of picking lists to the Finished Goods Warehouse (MPF), logistics coordination with transportation service providers, documentation issuance, order fulfillment control, document archiving, export activities, Dual Use management, returns management, and triangulation shipments, etc.
Dangerous Goods Shipment Management:
• Management of dangerous goods subject to IATA (International Air Transport Association), IMDG (International Maritime Dangerous Goods), and ADR (Accord Dangereux Routier) regulations
• Proper handling of procedures related to the transport of dangerous goods (completion of the Shipper’s Declaration and coordination of warehouse activities regarding labeling and packaging, sending MSDS to customers, etc.)
Invoicing Management: Issuance of outgoing invoices
Import Management:
• Determination of goods’ origin and issuance of certificates of origin (LTSD – Long Term Supplier Declaration, invoice declarations, etc.)
• Logistics management of purchased materials, including organization of transportation for purchased goods
Customs Classification Management
ERP Master Data Management (Oracle): Item master data, customs tariff codes, suppliers/customers, item relationships, packaging instructions

Customer Service
• Creation and management of customer master data
• Quotations and price list management
• Management of customer portals (activation, updates, etc.)
• Management of customer complaints and critical issues (urgencies, cancellation requests, requests for early delivery, etc.)
• Activation of contract review procedures
• Payment aging management
• Handling of customer requests via web and management of specific documentation requested by customers
• Interface between customers and various company departments (especially finance, sales, logistics, and operations)
• Monthly collection of Rolling Forecast data and data entry

Requirements and Skills
• High school diploma or equivalent qualification
• Excellent spoken and written English
• At least 2 years of experience in Customer Service and Logistics
• Possible certification/qualification for the transport of dangerous goods (IATA, ADR)
• Knowledge of standard software applications (e.g., Oracle ERP EBS, Office Automation, DCM, CSA, etc.)
• Knowledge of international regulations for the transport of dangerous goods (IATA, ADR, IMDG, etc.)
• Knowledge of proprietary applications of various courier companies
• Knowledge of safety regulations
